This policy explains what personal information [ORGANIZATION LEGAL NAME] ("Black Tech Week", "we", "us") collects through blacktechweek.com, how we use it, who we share it with and the choices you have.

What we collect

Information you give us

• Waitlist. Your email address, when you join the waitlist in the site footer.
• Applications and inquiries. What you enter in our speaker, sponsor, volunteer, career fair, VC matchmaking, meetup and community event forms. These forms are run by Typeform, which stores your answers for us.
• Meetup RSVPs. When you RSVP to a city meetup you do so on Luma, which shares your RSVP details with us.

Information collected automatically

• Analytics. If analytics is allowed (see the Cookie Policy), Google Analytics records the pages you visit, how you reached the site, your device and browser type and your approximate location.
• Server logs. Our hosting provider records technical details of each request, such as IP address, browser and time, to deliver the site and protect it from abuse.
• Approximate location. We use your IP address to work out which US state you are in, only to decide whether to show the cookie banner. We do not store it.
• Your cookie choice. When you make a choice in the cookie banner we keep a record of it: a random id, the choice, your state and the date. It does not include your name, email or IP address.

How we use it

• To run the waitlist and tell you when tickets and news about Black Tech Week are available.
• To review applications and inquiries and reply to them.
• To understand how the site is used and improve it.
• To keep the site secure and working.
• To meet our legal obligations.

Who we share it with

We use service providers to run the site. They process personal information for us and only as we instruct:

• Vercel hosts the site.
• Neon hosts our database, including waitlist signups.
• Cloudflare stores and delivers images and video.
• Resend sends our team an email when someone joins the waitlist.
• Typeform runs our application and inquiry forms.
• Luma runs meetup RSVPs.
• Google provides Google Analytics, when analytics is allowed.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We may disclose information if the law requires it or to protect the rights and safety of our community.

How long we keep it

We keep personal information only as long as we need it for the purposes above. Waitlist emails are kept until you ask us to remove them or the waitlist closes. Form answers are kept for as long as we need them to process your application or inquiry. Analytics data is kept for the retention period set in our Google Analytics account. Cookie choice records are kept as evidence of consent.

Your choices and rights

• You can ask us to remove you from the waitlist at any time.
• You can change your cookie choices at any time from Cookie settings in the site footer. If your browser sends a Global Privacy Control signal, we treat it as a request to turn analytics off.
• Depending on where you live, including California, you may have the right to know what personal information we hold about you, to get a copy of it, to correct it, to delete it and to opt out of its sale or sharing.

To make a request, email [PRIVACY CONTACT EMAIL]. We will need to confirm your identity before acting on it, and you can use an authorized agent. We will not treat you differently for exercising your rights.

Children

The site is not directed to children under 13, and we do not knowingly collect personal information from them. If you think a child has given us information, contact us and we will delete it.

Security

We use reasonable measures to protect personal information, but no website or service can be completely secure.

Changes to this policy

When we change this policy we will update the date at the top of this page. If the changes are significant, we will tell you on the site.
